THE DETAILS

What happens behind the scenes.

  1. File opened.

We review your executed agreement, enter all contacts, dates, and documents into our transaction management platform, and set up your office compliance file.

  2. Escrow & introductions.

We coordinate opening escrow, obtain the escrow number, request preliminaries, and introduce our role to every party with a full contract timeline.

  3. Disclosures & documents.

We prepare and route disclosure packages via email or DocuSign, review every document for signatures, initials, and dates, and track their return.

  4. Deadlines & follow-up.

We monitor contingencies and escrow time frames, send reminders before deadlines, and keep everyone updated on status and outstanding items.

  5. Compliance & close.

We confirm escrow has everything it needs, verify your compliance file is complete, and see the transaction through to closing.

FAQ

Questions agents ask us.

What does a transaction coordinator do?

A transaction coordinator manages the administrative side of a real estate transaction: documents, disclosures, deadlines, escrow follow-up, and communication with every party. That way you can spend your time with clients instead of paperwork.

When should I bring AVER in?

As soon as your contract is executed, and earlier for listings. We can support you from pre-listing paperwork all the way through closing.

Do you work with buyers, sellers, or both?

Both. We coordinate buyer-side, seller-side, and double-ended transactions, plus leases, land, new construction, commercial listings, and referrals.

Which states do you serve?

We support agents in California, Washington, and Oregon.

Will you communicate with my clients?

Yes. We introduce our role to every party, share the contract timeline, and provide regular status updates to your buyer or seller, so everyone always knows what's next.

Do you negotiate or give legal advice?

No. Negotiation, contract strategy, and client advice stay with you, the agent. We handle the coordination, documentation, and follow-through behind it.

Which systems do you work in?

We work in a transaction management platform, send documents via DocuSign, and upload directly to your office compliance system.

What are your office hours?

Monday through Friday, 8:30 AM to 4:00 PM Pacific. We're closed weekends and federal holidays.

How do I get started?

Submit your file through our secure transaction form, and your coordinator will take it from there. Have a question first? Reach out through our contact page.

Ready to hand off your next file?

Let us handle the paperwork so you can get back to doing what you do best.
